feat(transcription): let users turn off automatic transcription - #1427
Opening the editor runs useAutoTranscription() → sync(), which queues every speech-capable asset for background transcription. The first run calls SttManager.init() → ensureModels(), which downloads the ~264 MB Whisper model from huggingface.co. So the app contacts Hugging Face even for users who never ask for a transcript. On networks that block the domain, that raises alerts.
This adds a machine-wide "Transcribe new media automatically" preference, under a new Transcription section of the AI settings dialog (which the app menu opens in every mode):
Off:sync() queues nothing in the background, so nothing reaches the network until the user asks. Explicit requests are unchanged: "Transcribe now", request(), requestTimelineTranscripts(), and ensureTranscript() (used by the MCP transcribe tool).
Turning it off drops background jobs that haven't finished and aborts the running background job. It keeps manual jobs, failed jobs (the media card shows their verdict), and any background job an MCP call is waiting on.
Turning it on queues the open project's missing transcripts right away instead of waiting for the next document change.
Changes:
src/lib/userPreferences.ts: new autoTranscribe field, default true, validated in loadUserPreferences.
src/lib/ai-edition/store/transcriptionStore.ts: the store holds autoTranscribe in its own state (seeded from the saved preference, so a failed localStorage write can't turn it back on), gates the auto-queue in sync() on it, adds a setAutoTranscribe(enabled) action, and correct the header comment, which said transcription involves "no network".
electron/stt/index.ts: a cancel during model setup now stops the run (see below).
src/components/ai-edition/TranscriptionSettings.tsx: the new settings section. It reuses the MCP section's ToggleField, which is now exported.
Strings in all 15 locales (editor.json → transcriptionSettings). Non-English strings are my own translations, reusing each locale's existing word for "transcribe"; native review welcome.
Default: on
The default stays on to keep current behavior, since it isn't decided yet whether AI features should be off by default. If you'd rather make it off, it's a one-line change to DEFAULT_PREFS.autoTranscribe, plus flipping the two tests that pin the default.
Turning it off during the first model download
Turning the setting off aborts the background run, and the renderer then calls stt.cancel(). SttManager.transcribe() now reads the cancel epoch beforeinit() and checks it again right after, so a cancel that lands during the first model download stops the run before audio extraction. Before, it went on to transcribe anyway. The download itself isn't cancelled: it finishes and stays cached, so nothing is fetched twice.
src/lib/ai-edition/store/transcriptionStore.test.ts: with the setting off there's no background run, while a manual request and the MCP ensureTranscript still work. Turning it on queues immediately. Turning it off aborts the background run and keeps the manual one. A background job an MCP call is waiting on survives being turned off. A failed save doesn't turn it back on. With the sync() check removed, the main tests fail.
electron/stt/index.test.ts: a cancel during the model download stops the run before any chunk (fails without the fix)
src/components/ai-edition/TranscriptionSettings.test.tsx: reflects the stored value, toggle updates the store and the saved preference
npm run test: 370/371 files pass. The one failure, scripts/appimage-updates.test.mjs (Cannot find module '@noble/hashes/blake2.js'), comes from my local Node 24 / npm 11 install not hoisting that package. It's unrelated to this change and should pass on CI's pinned Node 22.22.1 / npm 10.9.4.
Not done: a manual check in the running app.
Summary by CodeRabbit
New Features
Added a setting to automatically transcribe new media. Transcription runs locally; the first use downloads the Whisper model. Turn the setting off to transcribe only when requested.
Automatic transcription is enabled by default and can be changed in provider settings. The preference is saved between sessions.
Bug Fixes
Canceled transcription requests now stop even when cancellation occurs during model setup.
Documentation
Added guidance for the transcription setting in the available editor languages.
Opening the editor queued every speech-capable asset for background
transcription, and the first run downloads the Whisper model from
huggingface.co, so the app reached the network for users who never asked
for a transcript (getopenscreen#1419).
Add a machine-wide "Transcribe new media automatically" preference
(AI settings > Transcription). When it is off, sync() queues nothing;
"Transcribe now", request() and the MCP transcribe tool still work.
Turning it off drops pending background jobs; turning it on queues the
open project right away. Defaults to on to keep current behavior.

Walkthrough
The change adds a saved preference for automatic transcription, uses it to control background transcription jobs, and adds a localized toggle to provider settings. The preference defaults to enabled. STT requests now detect cancellation during initialization.

The updated test now verifies preference persistence, and disabling automatic transcription aborts eligible background work. One bounded issue remains: disabling it during model initialization can also cancel an explicit MCP transcription for another project. That request can be retried; merging requires awareness of this limitation.

Explanation
[#1419] The issue asks that AI remain off until the user configures it, to avoid unsolicited Hugging Face connections. The reviewed code sets DEFAULT_PREFS.autoTranscribe to true, and sync() queues missing speech-capable assets when the preference is enabled. A new user can therefore trigger the Whisper download without an explicit transcript request. The toggle, cancellation logic, explicit request paths, and tests support the opt-out behavior, but they do not satisfy the issue's default-off requirement.

Stop the background run when a cancel arrives during model setup.
transcribe reads cancelEpoch after await this.init(). A cancel that arrives during model setup increments the epoch before that read, so the epoch checks in the chunk loop never fire. cancel() does not abort the speech model download. The run then continues through audio extraction and transcription, and the queued manual job waits behind it.
Cancels that arrive during extraction or between chunks already stop the run. The gap applies only to model setup, such as the first model download.
Capturing the epoch before init() alone does not close the gap. The first chunk check runs after extract(), so full extraction still runs. Check the epoch right after init(). Do not pass the cancel signal into the model download. The download still finishes and stays cached, as the PR permits.

… stop a run cancelled during model setup
- The transcription store now owns `autoTranscribe` (seeded from the saved
preference), so a localStorage write that fails can no longer let sync()
re-queue background jobs the user just turned off. The settings section
reads it from the store.
- SttManager.transcribe() reads the cancel epoch before init(), so a cancel
that lands during the first model download stops the run before audio
extraction instead of transcribing anyway. The download still finishes
and stays cached.
Cover the off-to-on toggle transition in the component suite.
The only click test starts from the default true value. The onToggle path that requests true from false never runs. A component that always passed false would still pass the current suite. The store tests call setAutoTranscribe(true) directly, so they do not exercise the component's inversion.
Add a case that starts from false, clicks the toggle, and asserts the rendered state, the store value, and the saved preference:

Scope cancel() so it does not abort manual runs that are waiting in init().
A manual MCP transcription can start during a background run's first-run model download. Turning off automatic transcription then cancels the background run. The shared epoch check at electron/stt/index.ts:361 also aborts the manual run with AbortError. This change extends that cross-run cancellation from the chunk loop to init(). Scope cancellation to the run that requested it.

Not changed here. cancel() is manager-wide by design: one epoch for every run, with per-request tokens deferred in the comment above it. Already today, an editor cancel aborts a concurrent MCP transcribe during extraction (the shared extraction slot) and between chunks. This check only extends that same rule to model setup, which was the one phase it missed. Scoping cancellation per run means giving stt:cancel a run id, which changes the IPC contract, so I've left this open for a maintainer to decide whether it belongs in this PR or a follow-up.
The reason will be displayed to describe this comment to others. Learn more.
@aiden-guan Agreed. The supplied code documents manager-wide cancellation and uses the same cancelEpoch across runs. The new check applies that existing behavior during init(); it does not introduce per-request cancellation semantics.
My recommendation to scope cancellation per run was too broad for this change. That requires a separate design decision about request identity and the cancellation contract.
I no longer recommend changing this check to address my finding. I will leave the thread open for the maintainer’s scope decision, as you requested. Would you like a follow-up issue for per-request cancellation?
Save autoTranscribe: false before the re-enable click so the saved-true check can fail.
The re-enable test starts with empty storage. afterEach clears localStorage after each test, and the earlier save of false is cleared before this test runs. loadUserPreferences() falls back to the default true when no value is stored. The final loadUserPreferences().autoTranscribe assertion therefore passes even if the click never saves the preference. Saving false first makes the assertion depend on the save that the click performs.
